We strive towards improving the health and wellbeing of our rural communities and believe in creating opportunities so all Victorians have the choice to access essential primary health care services. About the role and you RFDS Victoria are now accepting applications for an Administration Assistant to support the General Manager of Mobile Patient Care.RFDS Victoria provides non-emergency patient transport service, known as Mobile Patient Care (MPC). This service is a quality, efficient and caring patient transport services for people who need to travel to hospital or to specialist care. We provide these services from our 13 bases located throughout Victoria and is supported by our aircraft at Essendon Airport.The successful applicant will be expected to support the General Manager in relation to diary management, travel requirements and preparation for meetings as well as provide support the wider teams with general administrative duties. A high degree of accuracy, responsibility and confidentiality is required in carrying out assigned duties. The incumbent must handle confidential information appropriately. A high level of time management skill is required, with the ability to prioritise competing deadlines.This is a busy and varied role which requires someone with a flexible attitude. The role requires a self-starter, independent thinker with initiative.  and someone with both excellent people and organisational skills.Key duties and ResponsibilitiesAct as gatekeeper for the General ManagerCoordinate and manage all aspects associated with schedules, appointments and bookings for the General ManagerProactively manage both emails and letters receivedSupport the GM to ensure timely submission of reportsPrepare draft correspondence on a wide range of issues as requiredProject administration support as requiredEnsure invoices and credit card statements are lodged in a timely mannerAssist with daily mail openingPerform work related errandsMaintain and coordinate an effective filing systemFollow up items approaching the due dateProduce quality documents and manage the General Manager’s record keepingCo-ordinate relevant staff responses and/or input into projects, programs, reports, correspondence and corporate issuesPrepare agendas and minutes of various internal and external meetings convened or attended by the General Manager Provide support to the Operational Management Team as requiredManage departmental overflow phone callsKey selection criteriaDiary ManagementExcellent phone mannerExcellent communication skillsA high level of accuracy and confidentialityAbility to adapt to a changing workloadSolid Microsoft Office skills including TeamsStrong interpersonal & verbal communication skillsHighly organisedFriendly, open and enthusiastic dispositionDiscretion when working with sensitive, personal and confidential informationHighly motivated, ethical and moralYou will be joining an energetic and dedicated team who are passionate about providing a high level of support towards the work of the Flying Doctor across Victoria.
