Business Support Officer – Full Time

About UsProudly serving Australians since 1928, the Royal Flying Doctor Service (RFDS) provides emergency aeromedical and primary health services for people in rural and remote Australia. We believe in creating opportunities so all Victorians have the choice to access essential primary health care services. Position PurposeResponsible for many different tasks this role will play a key part in ensuring the day to day smooth operation of the corporate office. You will be expected to carry out multiple administrative duties, including front of house, answering phones, office management, invoice processing and administrative support to the Executive Assistant. You will provide relief support to the Chief Executive in relation to his responsibilities.A high degree of accuracy, responsibility and confidentiality is required in carrying out assigned duties. The incumbent must handle confidential information appropriately. A high level of time management skill is required, with the ability to prioritise competing deadlines.This is a busy and varied role which requires someone with a flexible attitude. The role requires a self-starter with initiative and someone with both excellent people and organisational skills.Tasks and Responsibilities• Provide front of house reception• Ensure meeting rooms are prepared• Answering non-direct and overflow phone calls• Manage repairs and maintenance of the Corporate office facility• Organise catering for internal staff and Board events• Ensure invoices and credit card statements are lodged in a timely manner• Manage and reconcile Australia Post account• Assist and coordinate as necessary any OH&S requirements• Organise ad-hoc travel for the Executive Office• Handle customer enquiries and complaints• Project administration support as required• Lead mail opening and manage outgoing mail• Coordinate purchasing of consumables for the office• Manage daily tasks to ensure smooth operation of the office• Assist the Marketing and Fundraising team in responding to incoming donor enquiries written, verbal and electronic, as well as requests for merchandise and event/function information• Corporate office fleet support• Be the first point of contact for all RFDS office volunteers, including schedule development, providing support when required and liaising with office staff to offer volunteer support across the organisation, where possible• Support various departments with administration at peak times and leave periodsQualifications and Experience• Excellent phone manner• A high level of accuracy and confidentiality• Ability to adapt to a changing workload• Microsoft Office skills including sharepoint• Strong interpersonal & verbal communication skills• Highly organised• Discretion when working with sensitive, personal and confidential informationApply now by submitting your resume and a cover letter by COB Monday 18th July 2022.RFDS is committed to creating a diverse environment and is proud to be an equal opportunity employer.  Business Support Officer AUD Richmond 3121
