PA to the Director of Music & Director of Performing Arts/Events Manager


Penleigh and Essendon Grammar School (PEGS) has over 2500 students from Kindergarten to Year 12 and outstanding staff, facilities and programmes across Moonee Ponds, Essendon, Keilor East and Keilor Park. We have an extensive and high quality music and performing arts program.We seek an experienced and enthusiastic Personal Assistant with a passion for events management to provide high level support to the Director of Music and Director of Performing Arts and events management for school-wide and Principal-led activities. Whilst priorities will vary to meet school needs, the role is 75% PA support and 25% events management. Duties are diverse and include:Personal AssistantLiaising with students, staff and parents, suppliers and other schoolsDiary management and scheduling appointments and meetingsProducing, proofing and amending documentsReviewing/updating private tuition timetablesRecords and file managementDatabase managementSupervising the Music ReceptionistProviding events administrative support for Music and Performing ArtsOverseeing the effective management of school wide stationeryStocktaking for the Music DepartmentPerform Music Reception services, as requiredEvents ManagementOversee event set-ups for all cross-sectional or Principal-led activities in the Auditorium, including managing bookings and cateringProvide high level customer service to internal and external users of the Auditorium, with regard to all production/performance requirementsAssist staff members with the organisation of school tours, including liaising with travel agents and guides, booking flights, transport, accommodation, meals, and activities and arranging travel documentationOversee ticketing for eventsEnsure events are photographed and material is available for publications, websites, archives, etc.Ensure AV requirements are met for relevant functions/productionsMarket the school facilities to the public to build stronger community links and identify opportunities to rent the facilitiesThe successful applicant will have:Relevant PA and Events Management experienceExceptional interpersonal and communication skillsAn understanding of child safety and the ability to work with students in a professional, supportive, safe and caring mannerA discreet and professional approach, particularly in relation to handling confidential informationExceptional organizing and prioritising skills, with the ability to work under pressure on competing and conflicting prioritiesHigh level IT skills, particularly Word, PowerPoint and databases, with Synergetic database experience an advantageA strong customer service focusAbility to anticipate needs and solve problemsThe ability to draft and format documents and accurately proof materialAn ability to supervise and guide othersA solid typing speedExperience working in schools would be of benefitA Working With Children Check is requiredPlease see the position description for further information, and the  website www.pegs.vic.edu.au for information about the school.To applyPlease attach a letter of application with a resume and the names of two referees  to Ms Simone Fisher, Director of Human Resources.  Applications are due by 20 June 2018.Position Description AUD Australia - VIC Melbourne - All locations Keilor East 3033
